A closeout note the next person can use

A simple way for NZ traffic management teams to hand finished-job paperwork back to the office, with a worked example.

The crew has finished and moved on. The next morning, someone in the office opens the booking and finds a report, a folder of photos and an unanswered message. A short closeout note gives them a way to tell which records belong together and what still needs attention.

Write down what’s already in the job record

Start with the job reference and work date or shift. Then name the records that are available and where they live. Use the exact report or folder name. On a multi-day job, specify which day the evidence covers so the reader can tell it apart from earlier paperwork.

Give every missing item a next step

Record what is still expected, who is checking it and when they’ll check again. Keep ‘waiting for a file’ separate from ‘not required’. If nobody has confirmed the requirement, record that as an open question and name the person who can resolve it.

A fictional closeout note

Job EX-042 · Tuesday evening shift. The site report is in the Tuesday folder under ‘Site report — evening’. The photo folder is there too. One labelled image is still outstanding. The office coordinator will check with the supervisor on Wednesday morning and update this note when it arrives.

Give it to someone who wasn’t on the job

Can they find the right shift, open the report and tell you who owns the next step without searching the team chat? If they have to ask which file you meant, add the filename or an internal link. Update the original note when an item is resolved so the next reader has the full record.

For office record-keeping. Follow your organisation’s process for formal sign-off and reporting.
